Good Morning Christina,
Thank you for the update, although its a bit broad at this time to understand exactly what it entails, relative to security equipment, and
adual costs to respond.,
What is missing is any reference to closing Main Street in front of the Civic Center and using the side street as a alternative route. Please
address this as well during the council meeting as it could affect the outcome of some ofthe summer special events.
Following us a recap of the requests we made during the Jan. 29th meeting. May we assume it will be presented to the council in total?
1. Change wording of Code ltem 16 to:
oGuidelines delete the word Rules.
oPartner delete the word customer
2. Proposed fees:
oFees that are higher than the current fees and not announced until Spring of 2018 become effective in 2019.
ospecial Events will be responsible for securing all oftheir own event equipment
. Town to provide approved:
' Equipment specs
. Vendor list
. Vendor rates
3. Security - Road closures - Town to provide
ol-ocal, county, state security requirements
oEquiPment sPecs
oVendor list
ovendor rates
oLG staff - police and park labor rates
oOther LG stafftime if applicable
4. Town Parking for special Events
o Removed restricted parking time
oNo fee shall apply for open parking during special events
5. proposed the LG Town Grants be made available to Special Events that provide significant community value to town residents
and businesses.
oRecommend the Srant application be announced in November
o Review and award ofthe Srant be made in February
oGrant funds awarded one month prior to the event
o Post Event report due within two months after event
6. TOT Fees
oStaff to provide Councilwith TOT revenue schedule
ocouncil to review and allocate a percentage of TOT fees for Special Events
oTOT fees to offset cost ofSpecial Events that provide significant community value to town residents and businesses.
7. Banners
oAdopt a one-banner fee versus a fee for each ofthe town's approved multiple sites
oTo qualify the banner applications must be approved and signed by each vendor.

Thank you for continuing this item at the January meeting so we could meet with the town staff and discuss our
position.
ln reading items #7 for tonights council agenda agenda it reads as if the Fiesta De Artes will be forced to move back to
the town center.
Having a one day event in the downtown does not work for a major Wine and Arts event, along with not having the
Plaza. ln Response
We have pulled our application for the Fiesta De Artes downtown and have reapplied for the Fiesta De Artes to be
located at the Town civic center.
At this time that application has not been approved and we are in discussion with staff hoping for approval.
The Fiesta committee agrees with the survey results in relation to us moving back to the civic center.
The Fiesta committee is in agreement with the benchmarking summary in that fees would be paid and that there would
be some form ofTown funded
cost-assistance Program. All we are looking for is that all the service clubs are treated equally, wither it be the Great
race, Cat's Hill, Chamber wine
walks or the Fiesta De Artes....
The Fiesta committee is in agreement with the staff report, Hoping for some form of a Srant program and open parking
during events.
