RESOLUTION OF THE TOWN OF LOS GATOS
TO AUTHORIZE TOWN MANAGER TO EXECUTE AGREEMENT WITH
PROTOTYPE INCORPORATED FOR PURCHASE OF A PC BASED FLEET
MANAGEMENT INFORMATION SYSTEMS
WHEREAS, the 1995/96 operating budget provides for purchase of a new fleet
management information system; and
WHEREAS, current fleet system operating in Parks, Forestry and Maintenance Services
was developed by the Association of Bay Area Government; and
WHEREAS, on June 12, 1995, staff issued Request for Proposals inviting sealed bids for
a computer based fleet management system to run on a Hewlett Packard HP 9000 server; and
WHEREAS, three packages where sent out, of the three vendors Control Software Inc.
respectfully declined to submit a proposal, and Software Solutions Unlimited Inc. failed to
respond; and
WHEREAS, the remaining vendor Prototype Inc. successfully met the intent of the
specification; and
WHEREAS, Prototype Inc. offers an Equipment Management System, which runs on
IBM - compatible PC -based local area networks; and
WHEREAS, the data base monitors actual usage of equipment, by collecting data such
as numbers of miles /engine hours driven, and days or hours used by each department; and
WHEREAS, this data will assist staff in establishing guidelines for replacing equipment
based on actual cost of operation over a twelve month period; and
WHEREAS, the system inventories all consumable parts against computer maintained
levels and generates a report highlighting which parts are over the computer count, which are
under, and what differencies in value have to be changed to inventory cost; and
WHEREAS, the program will reduce parts inventory, minimize maintenance cost
through effective preventative maintenance program, thus lowering operating cost and extending
equipment life cycle.
THEREFORE, BE IT RESOLVED, by the Town Council of the Town of Los Gatos,
County of Santa Clara, State of California, that the Town Manager is authorized to execute an
agreement with Prototype Incorporated for purchase of a PC based Fleet Management Information
System.
PASSED AND ADOPTED at a regular meeting of the Town Council of the Town of Los
Gatos, California, held on the 18th day of September, 1995 by the following vote:
