Dear Youth Commissioners:
Attached please find the proposal from Los Gatos Youth Theatre for Re -Use of the
Venue building. As many of you know, Los Gatos Youth Theatre (LGYT) is a non-
profit, 501(c)3 organization that serves many youth in Los Gatos and the surrounding
area.
Los Gatos Youth Theatre is a relatively new organization, started in 2009, which has
grown tremendously over the years. We offer summer camps and full -scale theatre
productions for youth 6 -18. We now serve over 350 kids. We work in conjunction
with Los Gatos - Saratoga Recreation. Having a space to call home, would ease
some of our facilities issues, as well as allow us to expand to year -round programs.
In addition, we could house our costume and set pieces making them much more
accessible to us, and the LGUSD musical theatre programs, with whom we share
resources.
Thank you for your time in considering our application.
Sincerely,
Randi Chen & Christine y

Additional Information Sheet
LOS GATOS YOUTH THEATRE
Description of Proposed Use and Activities
Rehearsal, training, storage and performance space specifically for Los Gatos Youth Theatre
(LGYT) run programs, as well as a venue available for use by affiliated youth groups and
recreation center programs.
Days /Hours of Operation
• Academic School Year (August - June): 4 /5pm - 9pm for theatre programs or affiliated
classes
• Summer Vacation Period (June - July): 9am - 9pm for LGYT theatre camps and programs
during the summer school vacation period.
Number of Daily Staff /Volunteers
Approximately 3 - 6 individuals would be present at the venue during normal LGYT run program
operation.
Number of Daily Visitors
During the summer month the number of students attending camp programs and rehearsals could
range between 20 - 60 kids.
After school classes would range from 1 -20, in voice, acting and dance classes.
Mitigation of Parking Impacts (only 2 dedicated parking spaces)
• Programs will be scheduled specifically outside of LGHS attendance times and most often
during holiday periods so that potential conflict with school traffic will be eliminated.
• For programs that run during the school year, these will be scheduled later in the day and
cognizance will be taken of special functions, sports events and other LGHS activities in
order to further reduce potential conflict.
• Most of the programs run at the site will result in drop -off and collection traffic for
attendees. LGYT will put a workable drop -off plan in place for all programs in order to
facilitate drop -off and turnaround of vehicles in an area further from the venue, so as not
to cause a traffic jam occurring in the tight parking lot directly outside The Venue.
Tenant and Capital Improvements
LGYT would immediately take action to clean, paint and fix up the current state of the
building to allow for occupation and use. This would not entail any immediate building
modifications to the existing premises. LGYT is able to draw on a large community of
parents and students who support and have benefited from its programs currently and in
the past, and together with additional fundraising for this specific project, the goal of a
home for LGYT will be achieved.
• We would like to add large wall mirrors to create a studio for dance rehearsals.
• Over time and with further fundraising we would look into the possibility of reconfiguring
the space depending on use. We believe it is prudent to occupy the space for a time and
utilize it in its current configuration. Then we can best determine how to improve the space
for our use.
Special Requirements
LGYT would require access to all storage areas and buildings on the site for the storage of
costumes, props and set pieces.
Costs and Funding:
Estimated capital improvement costs: $5000 for painting and fixing existing structure.
Estimated annual operating costs:
• Electricity/ Gas - $200 /month
• Water - $200/ month
• Cleaning/ yard maintenance - $200 /month
• Garbage - $400 annually
• Rent ?? We hope the Town will negotiate a very reduced rate, since we are a non - profit
organization.
Estimated annual maintenance costs: $1000
Funding source(s) for above: Revenue from our existing programs, and cost savings from not
having a storage rental unit ($500 /month). We will fundraise if we have larger projects that need
to be done.
Occupancy
Currently located?
LGYT does not have a permanent location currently. We rent a single storage unit in Campbell to
store set pieces and costumes.
The summer programs offered by LGYT are run through Los Gatos - Saratoga Recreation and use
venues at Blossom Hill School, Van Meter, LGHS and LGS Recreation.
When would organization be ready to occupy the space?
Immediately.
Target Demographic and Marketing?
The target demographic for LGYT programs is youth from Los Gatos and surrounding areas aged
6 -18 years old.
LGYT currently successfully runs multiple theatre summer camps for ages 6 -14 and stages two full
scale theatre productions over the summer break, one for ages 9 -13 and another for ages 14 -18.
Approximately 350 children take part in these programs every summer.
Given a dedicated venue, LGYT could expand on this successful summer program to offer
theatrical programs and classes throughout the year, during after- school hours and other holiday
periods.
LGYT will continue to market as it has done over the past six years since its inception and with the
added benefit of a home base, we are sure it will continue to grow. LGYT started with one full -
scale production, with 45 kids in 2009 to 4 summer camps and two full -scale productions today,
serving 350 kids.
How does the proposal utilize the building's close proximity to the LGHS campus and
neighboring youth facilities?
The proximity of The Venue to LGHS will be of benefit to those youth participating in the summer
productions for older kids, which is staged in the LGHS theatre.
Being close to LGHS will also benefit both LGYT and students, as it will make it more feasible to
offer a broader range of after - school performance related activities, such as vocal training, acting
workshops, dance workshops to the youth attending LGHS, as well as other schools in the area.
LGYT has always worked with and through LG- Saratoga Recreation to facilitate its programs. The
close proximity of The Venue to LGS Recreation facilities will also allow for sharing of this resource
for Recreation Center youth- focused programs as needed, thereby maximizing the use of The
Venue space to accommodate other youth based programs when not in use by LGYT.
Guiding Principles
LGYT meets the Guiding Principles in many ways:
Los Gatos Youth Theatre is a Youth Friendly Business as our sole mission is to provide
performance activities for the youth of the area. LGYT is a non - profit 501(c)3 organization.
We will not be remodeling the space in any significant way that would alter the plan of the current
building, so we would not need to worry about ADA access requirements (unless they are
currently not met), building standards, or impacts. Of course, if there are any existing safety
hazards or ADA non - compliance, we would remedy those issues.
We will, and have already, explored community collaboration with other groups.
• Currently we work closely with the Home & School Clubs of LGUSD in the sharing of sets
and costumes. This space would allow us to house all the costumes in one space, organize
them and facilitate access for all involved. In addition, we could rent them to other theater
programs, generating income to support our programs.
• In addition, we would approach other groups which could use the space. Amigos de las
Americas has used the Venue in the past. We have talked with them and they are open to
using it again for the training of their students.
• We are also open to offering the space to LGS Recreation for any classes that take place
when we aren't using the building. LGS Recreation is short on facilities, so hopefully they
will be receptive to using this space.
The Teen Needs Survey specifically asks questions regarding a "teen center ". Though this will not
be an open space for any teens to attend and will not function as such, LGYT does serve teens
through our many programs. In addition, we offer volunteer opportunities for teens to work at
our summer camps and any after - school programs we may offer.
