4♦ "" s MEETING DATE: 11/18/13 ITEM NO: i WI J s cry COUNCIL AGENDA REPORT DATE: NOVEMBER 7, 2013 TO: MAYOR AND TOWN COUNCIL FROM: GREG LARSON, TOWN MANAGER SUBJECT: AUTHORIZE THE TOWN MANAGER TO EXECUTE A FIRST AMENDMENT TO AGREEMENT FOR A ONE -YEAR EXTENSION WITH TRUGREEN LANDCARE FOR LANDSCAPE MAINTENANCE SERVICES IN AN AMOUNT NOT TO EXCEED $31,972 RECOMMENDATION: Authorize the Town Manager to execute a first amendment to agreement for a one -year extension with Trugreen LandCare for landscape maintenance services in an amount not to exceed $31,972. BACKGROUND: The Town of Los Gatos has utilized contractual landscape maintenance services for the past several years. In July 2011, an informal request for proposals was solicited for mowing and edging services in Town parks. Trugreen LandCare was determined to be the lowest and most responsible bidder for these services. A Purchase and Service Agreement was executed, with an annual maintenance cost of $31,972. DISCUSSION: Staff received an intent for renewal of the agreement from Trugreen LandCare to renew services with no increase to the annual cost. The cumulative cost will exceed the Town Manager's authorization contractual limit, so staff is requesting Town Council's approval for the additional one year extension. A multi -year re -bid of the landscaping contract will be conducted prior to the expiration of the extension. CONCLUSION: Staff recommends that the Town Council authorize the Town Manager to execute an agreement for a one -year extension with Trugreen LandCare for landscape maintenance services in an amount not to exceed $31,972.
