AUTHORIZE THE TOWN MANAGER TO EXECUTE AN AMENDMENT TO
THE AGREEMENT FOR CONSULTANT SERVICES WITH CALLANDER
ASSOCIATES TO PROVIDE ADDITIONAL DESIGN AND CONSTRUCTION
SUPPORT SERVICES FOR THE CONSTRUCTION OF LOS GATOS
CREEKSIDE SPORTS PARK IN AN AMOUNT NOT TO EXCEED $47,729.
RECOMMENDATION
Authorize the Town Manager to execute an amendment to the agreement for consultant services
with Callander associates to provide additional design and construction support services for the
construction of Los Gatos Creekside Sports Park in an amount not to exceed $47,729.
BACKGROUND
On December 6, 2010, the Town Council authorized the Town Manager to execute a
professional design services agreement with Callander Associates Inc. in the amount of $62,489
to perform preliminary design services for the Los Gatos Creekside Sports Park Project. Key
tasks performed under this contract included participation at community meetings, development
of conceptual site plans, refinement of plans based on community input, and evaluation of
options for the pedestrian bridge. On April 18, 2011, the Town Council authorized an
amendment to the consultant contract to complete the design and construction documents. These
documents were completed, and on February 6, 2012, Town Council approved the plans and
specifications for the construction of the Creekside Sports Park.

DISCUSSION
In order to ensure consistency and quality control as the project moves forward into the
construction phase, staff now proposes to amend the Callander Associates contract to include
support for the construction phase of the project. The proposed scope of work for the design and
construction phase will include additional design work associated with changes to the plans and
specifications that occurred during the bid phase of the project and comments received during the
plan check process, and specialized construction oversight for the park. Staff is particularly
interested in using Callander Associates to help with construction oversight for the synthetic turf
field, as this is an area where town staff has limited experience.
CONCLUSION
Staff recommends that the Town Council authorize the Town Manager to execute a Second
Amendment to the Agreement for Consultant Services with Callander Associates to provide
additional design and construction oversight for the construction of the Los Gatos Creekside
Sports Park in an amount not to exceed $47,729.
ENVIRONMENTAL ASSESSMENT
Approval of this consultant agreement is not a project defined under CEQA, and no further
action is required.
FISCAL IMPACT
There are sufficient funds for this project as demonstrated in the fiscal table below.
