Dear Dolly,
It has been an honor and pleasure to have provided a coffee cart concession at the Town Library
for the past five and a half years. It has been a terrific experience which has generated tremendous
good will for my company and has clearly been appreciated by Library patrons of all ages.
Thank you for sending us the Request for Proposal for future coffee cart services. I am writing
today to formally advise you and the Town that Los Gatos Coffee Roasting Company will not be
submitting a proposal to renew our coffee cart concession at the Library. We feel it would be best
to allow for another vendor to have the opportunity to participate in the project and fulfill the
services for the community.
We have learned a lot being the first to set up a coffee cart concession in our new town library.
I would be happy to share any pertinent information including our sales numbers, labor costs,
insurance and costs of goods, should you find this information useful. I certainly can attest that the
good will we developed during our tenure was priceless and our involvement personally rewarding.
Bottom-line, we found the coffee cart to be a financially viable project; however the profitability is
extremely modest. To some degree the minimal sales are due to the hours of the Library not
being optimal for making coffee sales. This is not meant to be a criticism, just a matter-of-fact; as
most coffee shops typically do the lion’s share of their business in the early hours, before the
Library opens its doors. The coffee cart at the library simply doesn’t have the sales volume
needed to net a more attractive bottom line. Perhaps with a different emphasis, price structure
and/or product line a new operator can coax better results than we experienced; only time will tell.
Meanwhile, we will continue to staff and operate the cart as usual until Friday, June 30th, 2017.
I will make arrangements to move our coffee cart, refrigerators and supplies out and do a good
clean up of the area that same day to make way for your new provider.
