COMMITTEES
RECOMMENDATION:
1. Conduct an interview and appointment process for the following: Arts & Culture
Commission (ACC), Bicycle & Pedestrian Advisory Commission (BPAC), Building Board of
Appeals (BOA), Community and Senior Services Commission (CSSC), General Plan
Committee (GPC), Historic Preservation Committee (HPC), Library Board (LIB), Parks
Commission (Parks), Personnel Board (Personnel), Planning Commission (PC), and
Transportation and Parking Commission (T&P). Those applicants applying for more than
one Board, Commission, or Committee will be interviewed once.
2. Appoint applicants to fill vacant Town Board, Commission, and Committee positions for the
specified term limits. For those positions that have unexpired vacancies (ACC, CSSC, and
Personnel) due to resignations, appoint applicants to fill those positions.
3. Direct the Clerk Administrator to re-advertise any vacant positions with the annual
recruitment for Youth Commissioners in March 2017.
DISCUSSION:
Prior to the start of the recruitment process this year, Department Directors and staff liaisons
reviewed all application forms to determine if the questions asked are germane to the
respective Board, Commission, or Committee (hereafter Commission). Application forms were
updated accordingly. The annual recruitment process began September 16, 2016 and
concluded on November 18, 2016. The Town received a total of 43 applications, with three
applicants applying for multiple positions. Applicants applying for more than one Commission

have ranked their preference on their applications. Attachment 1 summarizes the vacant
positions and applicants for all Commissions.
In addition to annual expiring terms, the Town has received six resignation letters resulting in
unexpired vacancies, two on ACC, three on CSSC, and one on Personnel (Attachment 2). One
Commissioner on CSSC has surrendered their office due to attendance , which does not result in
an additional vacancy as their term is expiring this year.
Upon completion of the appointment process, Council may direct the Clerk Administrator to re-
advertise any vacant positions with the annual recruitment for Youth Commissioners in March
2017. Recruitment for Youth Commissioners is set for March 2017 with interviews to be held in
May 2017 and ratification of appointments at the June 6, 2017 Town Council Meeting. If an
additional recruitment is required for adult vacancies, an interview and appointment date and
time will be determined.
The next scheduled recruitment for Commissions is set for September 2017 with interviews to
be held on or before December 19, 2017.
CONCLUSION:
It is recommended that Council appoint applicants to fill vacant Town Board, Commission, and
Committee positions and direct the Clerk Administrator to re -advertise any vacant positions
with the annual recruitment for Youth Commissioners in March 2017.
ENVIRONMENTAL ASSESSMENT:
This is not a project defined under CEQA, and no further action is required.

This Commission has 3 expiring terms, 2 of which are vacant. With the recent changes
approved by Town Council, this Commission is reducing adult Commissioners from 9 to 6 and
adding 1 Youth Commissioner. For the transition, this year there is one (1) adult opening for a 1
year term.

Hi Shelayne,
I hope that you are doing well.
I'm not sure whether Maureen addressed this at the last LG Arts Commission meeting, but I
unfortunately need to resign from my role as commissioner. I will be moving out of Los Gatos
due to work, effective in September.
Do you need any other official documentation from me because of this, or will this email suffice
to confirm my departure?
I'm disappointed to be leaving so soon after joining, and I'm particular disappointed to be leaving
so soon after Maureen took the helm of the commission. I have great hope for the development
of a strategic plan for the Arts Commission, and I think it is positioned to have substantial impact
on the town.

It has been an honor to serve on the CSSC, however, the time has come to resign. There's no cure for
mesothelioma, and only 40% live a year after diagnosis. I'm going through chemo and radiation to buy
some time, but the treatment itself limits my ability to participate. The disease is rare, so there hasn't
been enough economic incentive to search for a cure. I'm following a lung cancer protocol. I've had a full
and wonderful life. Everyone goes something like this. It's simply my turn.
Christina, please convey my heartfelt thanks to the Council and staff for the
very nice card and notes.
Tom, thank you update. The idea of using the Tait for a senior hub is a great one.
Again it has been a privilege to serve the Town I love.

Dear Dolly, Danice, Torn,
Please accept my resignation from the Los Gatos CSSC. 1 have been having health issues for the
last few months which led to a critical episode and emergency hospitalization recently and would
not have been in a position to attend this week's meeting. My recovery will take a few more
weeks and the journey has been unexpected and challenging.
That had me thinking about my time in general and now that our house in Los Gatos is under full
construction and I spend most of my time in San Francisco, it isn't possible for me to devote the
proper time and mindshare to this role as I would have liked. I will miss interacting with my
colleagues on the Commission and will perhaps apply at a future time when we move back to the
Town full-time following completion of our home.
