PPW Job No. 13-28 Retaining Wall Repairstiowx MEETING DATE: 12/02/14 ITEM NO: 5 �os`to COUNCIL AGENDA REPORT DATE: NOVEMBER 18, 2014 TO: MAYOR AND TOWN COUNCIL FROM: GREG LARSON, TOWN MANAGER .,,� SUBJECT: PPW JOB NO. 13 -28 — RETAINING WALL REPAIRS PROJECT 815-9930 AUTHORIZE THE TOWN MANAGER TO EXECUTE A CERTIFICATE OF ACCEPTANCE AND NOTICE OF COMPLETION ACCEPTING THE WORK OF CASEY CONSTRUCTION AND AUTHORIZE RECORDING BY THE CLERK ADMINISTRATOR. RECOMMENDATION: Authorize the Town Manager to execute a Certificate of Acceptance and Notice of Completion accepting the work of Casey Construction and authorize recording by the Clerk Administrator. BACKGROUND: The Town's adopted five year Capital Improvement Program (CIP) Budget designates funding for infrastructure construction projects. This is consistent with the Town's goals to improve public safety and improve the quality of Town parks, streets, and facilities. On April 7, 2014, the Town Council awarded a contract to Casey Construction to replace several failed retaining walls along Hicks Road, Jackson Street, and Phillips Avenue. On September 2, 2014 the Town Council authorized the Town Manager to execute an amendment to the contract to include additional work. The total contract amount for this project was $576,479. Actual contract expenditures for this project equaled $511,395, a savings of approximately 11 %. DISCUSSION: The work has been satisfactorily completed by the vendor for this project and staff recommends acceptance. Five percent of the faithful performance bond will remain in effect for a period of two years as guarantee for any needed repair or replacement caused by defective materials and workmanship. CONCLUSION: Staff recommends that the Town Council authorize the Town Manager to execute a Certificate of Acceptance and Notice of Completion accepting the work of Casey Construction and authorize recording by the Clerk Administrator. ENVIRONMENTAL ASSESSMENT: This is a project as defined under CEQA but is Categorically Exempt (Section 15301c). A Notice of Exemption will not be filed.
