RECOMMENDATIONS:
Authorize the Town Manager to execute a Purchase Agreement with One Work Place L. Ferrari
LLC in an amount not to exceed $83,976.45.
BACKGROUND:
The construction of the Los Gatos Library Facility is currently underway and proceeding on
schedule. As the construction phase approaches completion, staff has begun working on the
acquisition of fixtures, furniture and equipment. This is an important component of the project
and is critical tho the success of operations of the new facility.
Staff is utilizing publicly pre -bid government contracts to purchase a large portion of the
required furniture items. Three contracts have been awarded using this method. However, not all
specified products are available through the use of pre -bid government contracts. The products
specified in this report represent furniture that is not available within those pre-existing contracts.
Staff received the Town Manager's approval of Plans and Specifications and authorization to
advertise the project for bid during the July Council recess. The approval was reported to and
approved by Town Council at the July 25th meeting.

DISCUSSION:
This purchase will provide furniture recommended by library staff and the library architects. The
group researched various options and identified furniture requirements for the new library. The
items identified are chairs of several varieties, cafe style and work tables, revolving book
displays, a lectern and modular lounge furniture.
Staff solicited bids through advertisement for this project. A mandatory pre -bid meeting was held
on Wednesday July 20, 2011, with four vendors in attendance. One addendum was produced, as
a result of questions by vendors, and distributed to the potential vendors on Monday July 25,
2011.
On August 10, 2011, three complete bids were received from the firms of: One Work Place L.
Ferrari LLC, Hogue and Associates and KBM Workspace Inc. (Attachment 1). Staff reviewed
the bid results and found the firm of One Work Place L. Ferrari LLC to be the lowest responsible
bidder for this project and has confirmed their availability and resources to secure and deliver the
furniture.
CONCLUSION:
Staff recommends that the Town Council authorize the Town Manager to execute a Purchase
Agreement with One Work Place L. Ferrari LLC in an amount not to exceed $83,976.45 .
ENVIRONMENTAL ASSESSMENT:
This is a project as defined under CEQA but is Categorically Exempt (Section 15301c). A
Notice of Exemption will not be filed.
FISCAL IMPACT:
Sufficient funds are available for this project as shown in the table below.
