$8,000 FOR MIP CONCERTS OCCURRING IN FY 1998/99.
B. ADOPT RESOLUTION AUTHORIZING TOWN MANAGER TO EXECUTE GRANT
AGREEMENT WITH THE ARTS COUNCIL OF SANTA CLARA COUNTY FOR $1,139.
Authorize an increase in revenue and expenditure budgets of $8,000 for MIP concerts occurring in FY 1998/99; and,
adopt the draft resolution authorizing Town Manager to execute a grant agreement with the Arts Council of Santa Clara County
for $1,139.
BACKGROUND:
Coordinated jointly by the Town of Los Gatos Arts Commission and Community Services Department, MIP is a summer series
of musical concerts held in Town Plaza Park on Sunday afternoons (5:00 p.m. to 7:00 p.m.). While the concerts are offered free
of charge to the community, funds are still required to pay production costs: performers, sound services, promotional materials,
stage set-up, park clean-up, business license fees, etc. The Arts Commission and other Town volunteers raise funds for MIP
through community contributions and grants.
Covering two different fiscal years, the 1998 MIP concert series started June 21 and will end August 30. The first two "1998
MIP" concerts occurred in FY 97/98: funds were appropriately raised and budgeted to accommodate these concerts. The
remaining nine "1998 MIP" concerts occur in FY 98/99. The FY 98/99 Community Services Budget (8050-72115) includes
$12,000 for these concerts, an amount insufficient to cover fmal 1998 MIP Program expenses, as well as initial 1999 MIP
Program expenses. Budget estimates are being revised to accommodate high quality performers and increased advertising made
possible by increased donations.
DISCUSSION:
1998 MIP concerts occurring in FY 98/99 are expected to cost $13,000. 1999 MIP concerts occurring in FY 98/99 are expected
to cost $7,000 (two concerts plus program advertising and promotions). The Community Services Department budget for all
concerts occurring in FY 98/99 (1998 and 1999 seasons) includes $12,000. Consequently, a FY 98/99 budget increase of
$8,000 is required to accommodate concert expenses as follows:

The Council adopted MIP Guidelines require the Commission to seek grant funds. The Arts Council of Santa Clara County has
awarded $1,139 to the Town for concerts including the July 4 celebration. Grant funds are anticipated after the agreement is
fully executed. Funds will be used to offset costs of July and August concerts. The Town will submit required reports by
September 30.
