The school district operates the Los Gatos and Saratoga High Schools. It would be
greatly more convenient to Los Gatos Residents to go to the downtown area as
opposed to the current location to conduct business (residency requirements, pay fees,
special education administrative needs, etc.). We believe that these uses are
completely synergistic with the Civic Center Uses —for a one -stop shop for individuals
moving in or out of the community and needing to access public services of which public
education is an important component for families with children.
The school district wishes to collaborate with other community groups including the Los
Gatos - Saratoga Recreation District, Teen Center Activities, Safety Programs for kids,
etc. The school district believes that the Town of Los Gatos is an important partner in
the delivery of outstanding programs for residents and school age dependents.
The high school district is interested in exploring multiple purposes including sharing
location with the Los Gatos Union School District Administration, Los Gatos - Saratoga
Recreation District, Teen Center, etc.

LIBRARY RE -USE GUIDING pRINCIpLES
The re -use of the old Library is a rare and significant opportunity for the Town of Los Gatos to
enhance the use of the Civic Center and add to the quality of life of our g

Friends of Los Gatos Library
Proposal for reuse of the Former Library Space
DESCRIPTION OF PROPOSED USE AND ACTIVITIES:
The Friends of the Los Gatos Library propose to operate a retail book store in what was
the children's area of the former Library in order to further our mission to provide
significant financial support for the Library, its staff and programs, and to assist the
Library in other financial obligations to be determined by the Friends Board, the Town
Council and Library staff. We are also committed to promoting and encouraging the use
of the Library itself by members of our community, and to that end plan to use the store
as an Annex to the Library, cross - promoting Library programs and events. The
proximity of the store to the Library is ideal for such cross - purposing.
We would begin, as we have in fact already done, by selling our current, constantly self -
replenishing inventory of gently -used donated books, and library withdrawals. We
would then expand this inventory through organized book drives in conjunction with
other non - profit organizations, such as the boy and girl scouts and school organizations.
We have not yet begun to mine the wealth of used books that reside in Los Gatos and
that have, in the past, been donated to other organizations not as well positioned to
maximize their potential worth. Accurate pricing is essential. For example, two
individual sales alone on Amazon recently brought in $500. and $400. This - just for two
books! By encouraging donations and carefully educating volunteers to use the
computer to assess worth, earnings can only increase. The Library staff have first pick
from all of our donations as well, another fabulous benefit of expanding operations.
Once the store is established, we plan to move into the sale of new books, starting with
the latest fiction releases. We would then like to add other book - related merchandize
such as postcards and stationary.
The Friends interconnectivity with the Town Library is vital. We would seek out
recommendations from the Library staff on store set -up and coordinate programs and
events. We would maintain an information center and bulletin board with all current
Library information. We do plan to maintain the book sale shelves in the Library Lobby
for overflow and lower- priced items. These shelves are well -loved by patrons and there
a definite symbiosis with the Coffee Roasting concession. The space, however, is
small, and sales are made by the "honor system ", hence income from this area is
seriously limited.
As our mandate is two -fold, both to raise money and to promote culture, we would open
during special events, including local festivals such as "Music in the Park ", simply to
magnify the cultural significance. To this end, the book store is a perfect compliment to
almost any other re- purposing that occurs in the rest of the former Library space. The
Friends would also invite local retailers such as Sur La Table and Yarndogs to hold
demonstrations and seminars in the store in conjunction with special exhibits of books
on related topics. We would encourage Poetry Los Gatos to use our space for
readings, and promote local authors and artists through book signings. As the Town
Council is most painfully aware, there is NO book store in Los Gatos. The Friends are
ready and able to open a store that would evolve into a truly unique space, reflecting
and enhancing the culture of our town, while raising a significant amount of much -
needed cash for our Library.
DAYS✓HOURS OF OPERATION:
The Friends plan is to operate a conventional, retail store, open six days per week
complimenting Library hours. We would stay open late on Monday and Tuesday when
the Library is open until eight, close on Wednesday for restocking, open during Libra
hours on Thursday and Friday, and expand hours on Saturdays a ry
nd Sundays to take
advantage of the weekend crowds. In total, "Second Hand Prose" would be open
approximately 44 hours per week.
NUMBER OF DAILY STAFF/VOLUNTEERS:
Our volunteer staff will work two -hour shifts twice per month. There will always be two
volunteers on site at any given time, although there may be more. We will need 40
volunteers per week, which we currently have on our roster. If given the green light, we
will recruit double that number. There will be one Operations Manager, the Book Sale
Chairperson from the Friends' Board, who will present a report at each Board meeting,
and hold periodic Committee meetings to field questions, concerns and ideas. We have
also established a community service program with Los Gatos High School. The
teenagers are invaluable for their energy and hi -tech skill. They are a great asset. All
volunteers are carefully screened and monitored by Board Members. General oversight
will be provided by the Board President, and financial review and guidance given by the
Board Treasurer (see attached bios.)
NUMBER OF DAILY VISITORS:
We anticipate between 50 -200 visitors daily. 50 visitors is what we are experiencing in
the severely under - promoted current temporary space. 200 would most likely be during
festivals and special events.
ESTIMATED NUMBER OF PARKING SPACES NEEDED:
Most of our patrons will be parking for multiple reasons, such as going to the Library,
attending a concert, shopping at the Farmer's Market, or hiking the trails. In this sense,
the store's need for more parking spaces is marginal. Realistically, the cars will remain
longer due to our store, and we will develop our own patron base. Ten additional
parking spaces would be ideal.
TENANT AND CAPITAL IMPROVEMENTS: Describe modifications and/or
improvements for proposed use.
We envision a space that is clean, cozy and inviting yet - edgy, just like Los Gatos. The
Friends would shoulder the financial responsibility of the improvements. We would
remove the carpet, and put new carpet in selected areas, primarily the children's area,
but leave some areas bare, painted or varnished to match the exposed concrete ceiling
and the cool sixties feel. We would remove the wall coverings and paint the walls in
colors complimenting those used in the Library - greens and other earth tones. We
intend to use the shelves and furniture currently in place. In addition, we will add
shelving reserved for our use by the Library. We understand that the bathroom
connected to the "store" space is slated for remodeling. We would certainly like to be a
part of the planning.
COSTS AND FUNDING:
ESTIMATED CAPITAL IMPROVEMENT COSTS:
We use primarily volunteer labor, donated services and items. We estimate $2,000. out
of pocket, absorbed by the Friends.
ESTIMATED ANNUAL OPERATING COSTS:
Insurance, cleaning and maintenance should cost under $5,000. per year. We have no
information concerning the cost of utilities for the space, but are prepared to pay that
expense.
Marketing and promotional expenses for the store will be approximately $3,000. the first
year.
FUNDING SOURCES FOR ABOVE:
The Friends of Los Gatos Library is a self- sustaining, non - profit corporation with cash
assets, excluding the capital campaign fund, of $138,000. All net proceeds funnel back
to the Town for use by the Library. The Book Safe Committee would be responsible for
funding the renovations and maintaining the store. For the past five fiscal years, Book
Sale income has remained fairly static, at approximately $20,000 per annum. We
began to implement major changes in November, 2011. We started a business on
Amazon. We began to raise prices. We expanded the volunteer base. We increased
the number of special sales, and recently, supplanted sales by opening the temporary
store, "Second Hand Prose ", albeit open only ONE day per week for four hours. This,
however, has been an invaluable experience for us in planning for a permanent store.
Income for this year, which has three months remaining, is already up to $27,000.
The Friends' Amazon business is currently netting $1,000. per month.
Sales Shelves in the Library Lobby, $1,000. per month.
The Temporary Book Store has brought in $250. per day, the three days it's been open.
Based on our calculations, and anticipating increased sales, we estimate that the Book
Sale Committee's income from the first year of operating the store would be $70,000.
Our total income including sales shelves and Amazon would be in the range of $90 -
100,000. Less expenses, we would be raising approximately $75,000. for the Library
during the first year of operation. Saratoga's Book -Go -Round made $133,000. last
year. Ours is a reasonable estimate. There will be a market for books for a good many
years (before all goes entirely digital), and we should capitalize on this fact. We will
also be helping to preserve and disseminate these beautiful books, many from local
estates. We want them to have homes.
OCCUPANCY:
Where is the use currently located?
The Friends maintain an office in the new Library, which we invite all to visit. The
Friends have been selling books for thirty years, thanks to our retiring Book Sale
Chairperson, Marge Rice.
When would your organization be ready to occupy the space?
The Friends would be ready to begin renovations immediately. Much of the timing for
occupancy depends on the bathroom renovations etc. to be determined by the Town.

Los Gatans obviously need and deserve a book store. The feedback we have received
from patrons of "Second Hand Prose" has been universally positive. The people who
have found us are absolutely delighted with the space; the layout, the organization, the
tranquility, the selection, and it will only get better. The gradually increasing prices (and
we are only talking about a few dollars here) have phased only one customer - an old
gentleman who's frequented the sale shelves for years. It's good to know that he
noticed!
"Second Hand Prose" is as far away from a chain store as you can get. It will
essentially be members of the community donating books that they love to others in
their community and what could be better. At the same time they will be contributing to
the maintenance of the Town's stunning, new library. Win -win.
We receive some very fine books in our donations. The store will have an eclectic
collection, but one that actual reflects the interests of our residents. We will always offer
a very extensive fiction collection, and an excellent children's selection as well.
Cookbooks, self -help, finance, travel, biography and art are also extremely popular, and
the prices are affordable, but not ridiculously cheap. We want to offer the townsfolk a
bargain, but also make some serious money.
Second Hand Prose" fills a serious gap in the retail mix of the town. Even if a new or
chain bookstore does arrive, the Friends feel we can be competitive, and offer a
different experience. And if a new book store doesn't arrive soon, we'll move to fill that
gap as well.
"Second Hand Prose" will be a space for cultural events engendered by the people of
Los Gatos, not by outside organizers. The events will work in concert with those of the
Library, the festival organizers, the schools, the artists, authors and the readers
themselves.
The store will also provide many opportunities for young people, especially teens, to
engage in highly satisfying and meaningful community service. We have seen how
interested some of them are in pricing books on the internet, stocking shelves, and
experiencing a behind - the - scenes look not only at the book selling businesses, but at
the Library itself.
The store will be a source for "treasures" - antique books, and local history books. We
will have a section devoted to California, especially the Bay Area, and will proudly
display anything about Los Gatos!
Finally the store will reflect the town's commitment to literature and education. It will
become a source of great pride and joy for residents and will support our cultural and
creative community.

Ms. Hamilton has lived in Los Gatos since 1976, when her husband retired from the
military. The Hamilton's bought the Los Gatos Shade Shop on Main Street and ran the
business for twenty years. During that time, Ms. Hamilton served as Vice - President of
the Los Gatos Museum Board, and is presently serving as President of the Friends of
the Los Gatos Library.

BIOGRAPHY: THOMAS ATKINSON
AGE: 70
Mr. Atkinson was born in Allentown, PA and lives in Los Gatos. He received a
Bachelor's Degree in History from the University of Oregon in 1963.
Mr. Atkinson founded Valley Heating & Cooling Co. in 1963 with his father. He worked
in all phases of the HVAC business until 1970 when he became President and CEO of the
newly incorporated company. On April 1, 2003 the company was sold and Mr. Atkinson
began full retirement.
Mr. Atkinson's community activities include past director and present member of the
Rotary Club of San Jose, Treasurer of the San Jose Public Library Foundation, Chairman
of the Los Gatos Public Library Board, Treasurer of the Friends of the Los Gatos Library
and a member of the San Jose Country Club.
Former activities include; Chairman of the Better Business Bureau board of directors,
board member of the American Beethovan Society based at San Jose State University,
Chairman of Children's Home Society (a California adoption agency), and founding
board member of the Children's Discovery Museum.
Family members include his wife, Ann, a community volunteer; son Jonathan, 38, a
policeman in San Jose and daughter, Amy, 35, a public relations trainer for Target Stores.
He has 5 Grandchildren aged 4 to 7 years old.

Ms. Archer is a video producer, director, editor and writer who has worked in cable
television, the corporate and promotional markets, and most recently as an independent
producer for her own company, Lyric Media.
Ms. Archer graduated from Yale University in 1979. She began her career directing and
editing "YOU!" Magazine, a weekly lifestyle series for the USA cable network, which
later appeared on Lifetime with a library of over 200 half- hours. She then signed on
with CNN in New York City as Unit Manager of "Style ". At the same time, she began to
freelance as a producer /director of corporate marketing, point -of- purchase, travel and
documentary videos. Clients included Donna Karan, Hanes, Carolee, Liz Claiborne,
Aerosoles and JC Penney.
In 1992, Ms. Archer moved to Los Gatos with her husband, John Wainwright, a software
engineer, and their two young children_ She became involved in digital video
technology, developing an expertise in Final Cut Pro. She formed Lyric Media and
produced two local history documentaries, "Los Gatos: Then and Now" and "Villa
Montalvo: The Evolution of an Arts Center ". Both films, as well as software tools
developed by Mr. Wainwright, are marketed by Lyric, locally and on the internet. She
has also volunteered her time to produce promotional pieces for the Cinequest Film
Festival in San Jose.
Ms. Archer joined the Friends of the Los Gatos Library Board in 2009. She became
actively involved in Book Sales for the Friends in the spring of 2011. As incoming Book
Sale Chairperson, she is thoroughly engaged in the challenges of updating and refining
the Friends' Book selling methods, and is committed to making the most of the many
opportunities.

Friends of Los Gatos Library
Proposal for re-use of the Former Library Space
DESCRIPTION OF PROPOSED USE AND ACTIVITIES:
The Friends would like to use this rectangular space located on the lower level of the
former library as storage space for book donations. This space is absolutely vital to all
of the Friends' Book Sale activities, as there is NO storage room available in the new
library. Without this area, it is conceivable that book sales, one of the major sources of
income for the Friends, would have to cease.
Ideally, The Friends would receive the bulk of book donations at the proposed storage
space. We could then use the space to "sort, stage and store." (in comparison, see the
attached photos of two other Library storage areas.) Exceptional books would be put
aside for Amazon, acceptable books would be sorted by category, and unacceptable
books would be designated for recycling. The books would then be stored on the
shelves in category boxes, and pulled when needed to restock both the proposed book
store and the shelves in the Library Lobby. Although we certainly would never
discourage people from bringing their donations to the new Library, bringing them
directly to the storage space would significantly decrease the number of trips currently
necessary between the two locations. In the case of estates and large donations of
hundreds of books, it would be much more convenient, and a lot less work for the
volunteers if they could arrange to meet the donor directly at the storage area. The
Library clerks would also not be required to handle as many donations as they do
currently. As an aside, it would be ideal if there was a key on the cash register that
would enable clerks to accept payment for sales from the Library sales shelves directly
into the cash register rather than using a little, plastic box beneath the counter (See
attached photo of the key pad for the Saratoga Library's cash register.)
We would like the pleasant and highly functional but extremely small office that we have
in the new Library to be as professional and mutt- purpose as possible. We use it to
fulfill Amazon orders, to print labels and postage as well as some of our marketing
materials. The President and other members of the Board write and print board reports
and letters to donors and members there, plan fund raising events, hold meetings, etc.
We are extremely pleased with the new office, but it is not a place where books can be
adequately sorted or stored. The Friends need this storage area to maintain a viable
book selling operation.
DAYS/HOURS OF OPERATION:
We would operate within Library hours.
NUMBER OF DAILY STAFF VOLUNTEERS:
Between three and six volunteers accepting donations and sorting in several two hour
shifts daily.
ESTIMATED NUMBER OF PARKING SPACES NEEDED:
No additional parking spaces.

We might remove two rows of shelves and place a table in the area for sorting.
There are no other special requirements.

This storage area is simply vital to the Friends Book Sale Operations. Without it, Los
Gatans may in fact lose the opportunity they now have to buy affordable, interesting,
good quality, gently used books and library withdrawals from our sale shelves and from
the proposed book store.
